This policy explains what personal information My Viva Tour collects when you use
myvivatour.com or enquire about a trip, why we collect it, who we
share it with, and the choices you have. We have written it in plain English rather than legal
boilerplate, because you should be able to tell what actually happens to your details.

MYVIVATOUR CO., LTD (trading as My Viva Tour) is a licensed inbound tour operator based
in Hanoi, Vietnam. We design and run private, tailor-made tours of Vietnam, Thailand, Laos and Cambodia.

We are the controller of the personal information described here. If you have any question about this
policy, email us and a real person will answer.

What we collect

Information you give us

When you send an enquiry, request a quote, or book a trip, you give us some or all of the following:

• Your name, email address and phone number (including WhatsApp number where you use it)
• The country you are travelling from and your nationality, where it affects visas or entry rules
• Trip details: dates, group size, who is travelling, destinations and interests, budget range
• Anything else you choose to write in the message field, including dietary needs, mobility needs or
  health information you tell us so we can plan the trip safely
• For a confirmed booking: passport details and, where relevant, flight numbers, insurance details and
  emergency contact — all of which are needed to make the reservations

Please send us only the health or passport information we actually need for your trip.

Information collected automatically

Like most websites, ours records some technical information when you visit:

• IP address, approximate location derived from it, browser and device type, and language
• Pages you viewed, how you arrived (search engine, advertisement, social post or direct) and how long you stayed
• Advertising click identifiers such as Google’s gclid and campaign tags in the link you
  clicked (utm_source, utm_medium, utm_campaign), stored in a
  first-party cookie so we can tell which advertisement led to your enquiry
• Cookies and similar identifiers set by the tools listed below

Comments and reviews

If you leave a comment on an article, we store the name, email address and comment text you submit,
together with your IP address, so we can moderate spam.

Cookies and measurement tools

We use the following on myvivatour.com:

• Google Tag Manager — loads the tags below.
• Google Analytics 4 — anonymous-level statistics about how the site is used.
• Google Ads — measures which advertisement led to an enquiry, and supports remarketing.
• Meta (Facebook) Pixel — measures which Facebook or Instagram advertisement led to an enquiry.
• Essential cookies set by WordPress and our caching layer so the site works and stays fast.

We do not currently show a cookie consent banner. You can block or delete cookies through your browser
settings at any time; the site will still work, but our measurement will be incomplete. You can also turn
off personalised Google advertising at
myadcenter.google.com
and Meta advertising in your Facebook or Instagram ad preferences.

Offline conversion measurement

Because a tour is usually booked by email over several days rather than in one click, we tell Google Ads
when an enquiry that came from an advertisement turned into a real, qualified lead. What we send is the
click identifier (gclid) that came with your visit, the date and time of your enquiry, and — for
a confirmed booking — the booking value. We do not send your name, email address or phone number to
Google for this purpose. Its only use is to tell us which campaigns are worth running.

Who we share it with

We do not sell your personal information. We share it only where it is needed:

• Travel suppliers — hotels, guides, drivers, cruise and domestic airline operators,
  restaurants and permit authorities, who need your name and trip details to hold your reservation. Some are
  outside Vietnam, in the countries you are travelling to.
• Our own systems — our website host, our email provider and our internal booking and
  customer system, which are operated for us under contract.
• Advertising and analytics providers — Google and Meta, as described above.
• Payment providers — where you pay a deposit or balance, the payment is handled by the
  provider; we do not store your full card number.
• Authorities — where the law requires it, for example immigration or tax reporting.

Because we operate from Vietnam and use international service providers, your information will be
transferred to and stored in countries outside your own, including Vietnam.

How long we keep it

• Enquiries that never became a booking: up to 3 years, then deleted
• Booking and trip records: 10 years, to meet Vietnamese accounting and tour-operator record-keeping rules
• Website analytics and advertising data: as configured in Google Analytics and Google Ads, generally up to 14 months
• Comments on articles: kept while the article is published

Your rights

You can ask us to:

• tell you what personal information we hold about you, and give you a copy
• correct anything that is wrong
• delete your information, where we are not required to keep it
• stop using it for marketing, or object to our use of it for measurement

Email [email protected] and we will respond within 30 days. We may
ask you to confirm your identity first, so that we do not hand your details to someone else. If you are in
the EU, the UK or Australia and you are not satisfied with our answer, you may complain to your national
data protection authority.

Security

The site is served over HTTPS, access to our booking system requires an individual account, and only the
consultants working on your trip can see your file. No system is perfectly secure, so please avoid sending
passport scans or payment details through unsecured channels; ask us and we will provide a secure way.

Children

Our services are sold to adults. We collect information about children only as part of a family booking,
provided by the adult making that booking.

Changes

If we change this policy we will update the date at the top of this page. Significant changes affecting
travellers with a live booking will also be sent by email.
